InboxDraftWriter

InboxDraftWriter docs

1. Connect a mailbox

  1. Sign up, then on Onboarding choose Connect Gmail or Connect Outlook.
  2. Approve access. Gmail asks for gmail.modify (read, label, create drafts) and calendar.readonly (free/busy for scheduling). We do not request a send-only scope; sending happens only through a draft you or a confirmed rule send.
  3. The first sync reads the last 7 days and your last 50 sent emails (to learn your writing style). After that, new mail arrives by push notification within seconds (Gmail via Google Pub/Sub, Outlook via Microsoft Graph) when the operator has set those up; otherwise we check every 5 minutes.
  4. Want to look first? Use Try the demo mailbox — 18 sample emails, nothing connected.

2. Labels

Every incoming email gets one label under InboxDraftWriter/: To respond, FYI, Comment, Notification, Meeting, Marketing, Invoice / Bill, Cold outreach. Each one shows why it got that label. We never move or delete mail unless you create an Archive rule.

3. Drafts

For To respond and Meeting emails, we write a reply in your voice and puts it in your mail app's Drafts folder on the same thread. Emails in Hindi, Telugu, Tamil, Kannada, Malayalam, Bengali, Marathi, Gujarati, Punjabi or Odia get a reply in the same language. If the AI needs a fact it doesn't have, the draft contains {{ask: …}} for you to fill in.

Language lock: under any draft choose "Always reply to this contact in …" (or add it in Settings). the draft is rewritten and uses that language for that person from then on.

Free plan: 50 AI drafts a month. When they run out, sorting and labels keep working and drafting resumes on the 1st.

4. Never auto-sends

InboxDraftWriter sends nothing by default. An email is sent automatically only when all of these hold:

5. Follow-ups and commitments

When you send an email that asks something and nobody answers in 3 days (change it in Settings), a polite nudge appears in your Drafts. When you write "I'll send the deck by Friday", it is added to Commitments with that date, and closes it when you later send something like "attached" on the same thread.

6. Bills

Invoices are read for vendor, number, amount, currency, GSTIN, tax and due date. Export them as CSV or as Tally Prime XML (Gateway of Tally → Import → Vouchers). The vendor name must exist as a ledger in Tally, or Tally will tell you which ledgers to create.

Or connect Zoho Books or QuickBooks on the Bills page and press Push. Each bill becomes an unpaid bill with the vendor (created if new, with GSTIN in Zoho), bill number, date and due date, on one expense line at the gross amount. Set GST input credit in the accounting app. A bill is never pushed twice.

7. Meeting notes and scheduling

Paste a transcript (or upload audio — Indian languages supported via Sarvam) to get a summary, decisions, action items and a recap email in your Drafts. Meeting requests get a draft offering 3 free slots from your calendar inside your working hours.

8. Daily digest and WhatsApp

Every morning at your digest hour you get a one-screen summary. Add your WhatsApp number and tick Send digest to WhatsApp in Settings to get it on your phone.

9. Team inbox

Mark a mailbox as shared so everyone in the workspace sees it. Assign threads, set open / snoozed / done, and leave internal comments that the customer never sees. Press I'm on it (or save a draft) and teammates see "Asha is drafting a reply" on that thread for 15 minutes, so two people don't answer the same customer.

10. Privacy controls

11. Cleanup

The Cleanup page lists bulk senders, loudest first. Never opened shows senders whose mail you have not opened once. Unsubscribe uses the sender's RFC 8058 one-click link only (we never open other links); Archive all moves their mail out of your inbox without deleting it.

12. Ask your inbox

Search across every connected mailbox, or ask a question in plain words ("what did Priya ask about the pilot?"). The answer cites the emails it used.

13. Accounting and push setup (operators)

Zoho Books needs a Zoho API console app; QuickBooks needs an Intuit developer app (sandbox by default). Gmail push needs a Pub/Sub topic with [email protected] as Publisher and a push subscription to /api/webhooks/gmail; Outlook push needs a public https URL. See .env.example.
